Adding your team

Inviting a colleague, choosing what they can open, and the two things only the account owner can ever touch.

If someone else answers your enquiries, manages a villa or handles guests, they should have their own login rather than yours. Team accounts are on the Agency plan.

Two reasons it matters beyond tidiness: you can see who did what, and when someone leaves you remove one person rather than changing a password everybody knows.

Inviting someone

Open Team and send an invite to their email address.

They set their own password from the link. You never see it, and you never choose it - which means nobody has to share a password to get someone started.

Until they set it they show under Pending invites. If the email never arrives, check spam before resending; it is nearly always spam.

Choosing what they can open

Access is granted per section, not by job title. You tick the parts of the hub they need and the rest simply are not there for them - not greyed out, not there.

Grant only what the work needs. Some patterns that work:

  • Someone answering enquiries - Leads, Mailbox, Schedule
  • Someone managing listings - Portfolio, Pricing
  • Someone handling arrivals - Welcome Books, QR Codes
  • A concierge - Concierge Studio, Schedule

A person handling arrivals does not need the CRM, and giving it to them means every guest's contact details are one more place they can leak from.

The two things only you can touch

Team and Plan & Billing are owner-only, always. No team member can be granted either, whatever else they hold.

The reason is direct: someone who could edit the team could promote themselves, and someone who could edit billing could change what you pay. Those two are not a matter of trust, they are a matter of not creating the option.

Changing or removing access

Change what someone can open at any time from Team. It takes effect on their next page load, not at their next sign-in - a revoked section is gone straight away rather than whenever they happen to log out.

Remove someone when they leave. Their work stays; the leads they entered and the books they wrote are the business's, not theirs.

Common questions

Can two people use one login? They can, and you should not. You lose any record of who did what, and removing one of them means locking out both.

Will they see my billing? No. Owner-only, with no way to grant it.

Can I let someone see one property only? Not today - access is by section, not per property. If that matters for how you work, tell us; it is the kind of thing that gets built when enough people ask.

Do team members count toward my property limit? No. The limit is on listings, not people.

Someone left and I forgot to remove them. Remove them now, and if they had Leads or Mailbox assume they still hold whatever they had already read. That is the argument for granting narrowly in the first place.
